Accommodation rules and cancellation policy

Terms and conditions and accommodation arrangements:

Apartmány Chodov (hereinafter the “hotel”) is only authorised to accommodate clients who duly check in. To do so, the client should submit their national ID card or other ID document, passport or other travel document within the meaning of the Act on the Residence of Foreign Nationals in the Czech Republic, to the hotel employee at reception immediately upon arrival.

All clients who are not citizens of the Czech Republic (foreigners) are required within the meaning of the Act on the Residence of Foreign Nationals in the Czech Republic, as amended, to fill in and submit to reception an official document reporting residence as provided to the client upon arrival by the hotel employee, and all required details must be given truthfully and fully.

On the basis of a booked stay, on the day of arrival the client may enter their accommodation from 2pm onwards at any time in accordance with agreement with hotel management on that day. Until that time, the hotel shall reserve the room for the client unless there was another request in the booking and the hotel has confirmed said request.

If the client insists on being accommodated prior to 10 am, they must pay the full price for the previous night unless they have agreed in advance otherwise with the hotel.

The client should check out by 10 am at the latest. By that time they should leave the room, unless it has been agreed otherwise individually and in advance. If the client does not leave their room by 10 am, the hotel is authorised to charge them for the whole of the subsequent day’s stay, unless agreed otherwise in advance. The room is considered to have been left once the client has taken all his items out of the room, returned the key to reception and informed the hotel employee that he has checked out of the hotel. The hotel reserves the right to check the room fixtures (furniture, appliances, forgotten items) and client payments and consumption within 3 days from check-out from the room.

If the client requests an extension of accommodation, the hotel may offer him a different room at a different price level than the original room. In this case, the client is not entitled to accommodation in the room in which he was originally accommodated, nor to accommodation in another hotel room if this is not possible for capacity or operational reasons.

The hotel reserves the right in exceptional cases to offer the client different accommodation to that originally agreed  if this does not significantly differ from the confirmed booking.

The hotel provides its clients with services to the extent mutually agreed and to the extent as determined by laws in force. The client is required to submit payment for his accommodation and services provided in accordance with the hotel’s valid pricelist, and to do so always on the first day of accommodation. These payment terms and conditions are inviolable on the basis of contracts on accommodation.

The client is required to adapt the hotel stay, and all its equipment and operations in line with his current medical state and physical and psychological capabilities.

 

Payment for provided accommodation and cancellation fees:

The client is required to pay the price for accommodation and services provided in accordance with the valid hotel pricelist by the day of the end of accommodation at the latest on the basis of submitting the receipt, or invoice, along with bill of prepayments provided by the client.

The pricelist for services for temporary accommodation and other services can be viewed at the hotel reception.

The hotel reserves the right to ask the client for a deposit of 30 % to 100 % of the accommodation price during the booking process.

If the client cuts short his stay, the hotel is entitled to charge the client the entire agreed sum for the whole period of stay.

The hotel is entitled to charge cancellation fees, and to use the deposit paid to cover this where the client cancels his booking in writing, electronically or by phone.
A cancelled booking must be communicated directly to the hotel, and this can be done by 48 HOURS prior to your arrival at the latest. If you do not do so, or you do not arrive at the hotel, you will be charged a cancellation fee of 100 % of the entire stay. Deposits and booking fees (where charged) are not returnable.

 

Booking with prepayment requirement:

The total sum for accommodation (after subtracting the deposit paid at the moment of booking) will be charged by the hotel on the day the booking is made, and this is non-returnable. Please bear in mind that if this booking type is cancelled, the hotel will charge you the entire accommodation cost.

The client is liable for damage caused to equipment, or hotel fixtures, in accordance with the relevant regulations in force. If hotel property is damaged or destroyed, the hotel is entitled to compensation for damage. It is in the client’s interest to inform the hotel of the extent of any damage to equipment in his room. As their legal guardian, the client is liable for damage caused by underage persons for whom they are responsible, as well as for damage caused by people or animals located within the accommodation facility premises where the client has allowed them to stay there.

For damage to hotel property caused by the client, the client is required to pay compensation for damages caused by the last day of the client’s stay at the latest, or on the basis of an invoice issued within 14 days from the client’s last day of stay, payable within 10 days from receipt by the client if the hotel decides upon this method of paying compensation for damage.

If the client refuses to pay for damaged or destroyed hotel equipment in accordance with the conditions in point 7 of this article, the hotel is entitled to charge the client a contractual fine of 0.05 % of the outstanding sum per day for each day in default, alongside default interest at the level determined by generally binding regulations.

 

Washing guests’ laundry. The hotel reserves the right to refuse to wash laundry which is excessively dirty or damaged. The cleaner’s is not liable for impaired colouring (environmental colours), buttons or ornamental pins damaged during the cleaning process. Compensation for damage or loss caused by the cleaner’s may reach a maximum of five times the price for cleaning or washing the particular laundry item.

The hotel is not liable for theft or damage to motor vehicles left in the hotel car-park. The hotel recommends guests check that their vehicles are properly locked and secured. It also recommends not leaving any loose personal items in the car. The hotel reserves the right to request and charge compensation for any damage caused to the hotel property by the guest’s vehicle.

The client must act such as to avoid damage to health, property, and the environment. The hotel recommends that clients lock their room door even when they are residing within their room. Before opening their door to unknown persons, clients should check why they wish to enter the room and if they are in any doubt they should immediately contact reception. Before leaving their room, guests should thoroughly check that all windows and doors are closed.

The hotel is not liable for any damage caused outside the hotel premises.

 

 

Catering and sale of alcoholic drinks
The consumption of alcohol by persons older than 18 years of age is permitted within the hotel premises, only if purchased within the hotel.

The client is required to inform hotel staff of any serious medical restrictions or dietary restrictions, and to report these restrictions to reception.

 

1. Hotel staff are entitled to refuse to serve alcoholic drinks to persons under 18 years of age and persons clearly under the influence of alcohol.

 

2. In regard to receiving visitors, accommodated guests may receive visitors only with the consent of a responsible employee or hotel management between 08:00 am and 10.00 pm. Hotel employees are not entitled to give any information on accommodated clients to third parties (except for members of the police force after being shown police ID and demonstrating the justification for requesting such information), nor allow third parties to visit guests without their consent.
 

3. Clients may not position interior fittings in their rooms and hotel common areas, undertake any adjustments or modification to hotel equipment, or tamper with the wiring or other facilities without the consent of a responsible hotel staff member or management.
 

4. Clients are not allowed to bring items into their room for storage which the hotel has designated another room for doing so, e.g. sports equipment, prams, bicycles, trolleys, etc. The client should inform reception if they need to store such items. Guests will be charged compensation for damage to the full amount for any damage to hotel property caused despite this ban. In the event of breaching this ban, the hotel is entitled to charge the client a contractual fine of 1 thousand CZK for each breach. If the damage caused is higher, the hotel reserves the right to charge for this damage to the full amount.
 

5. Smoking is prohibited throughout the hotel. There is a strict smoking ban in rooms and balconies attached to rooms. If this ban is breached, the hotel is entitled to charge the client a contractual find of 10 thousand CZK for each breach. If the damage caused is higher than this, the hotel reserves the right to charge for this damage to the full amount.


6. There is a strict ban on consuming any narcotic or psychotropic drugs within the hotel. The hotel is entitled to inform the Police of the CR and immediately cancel the guest’s accommodation if they breach this ban, with no compensation available.


7. Dogs and other animals may be present within the hotel premises only with the consent of a responsible hotel employee, or on the basis of prior agreement between the client and hotel and on condition that the owner proves they are healthy. The price for accommodating an animal is charged in accordance with the valid hotel pricelist. The following measures apply to accommodating dogs and other animals:

Only small dog breeds may enter the accommodation section of the hotel. In all the hotel’s public areas, all dogs must be on a leash and wearing a muzzle. Fixtures may not be used to feed dogs or other animals which are used to prepare or serve food to guests. In the event of any damage to hotel equipment by an animal, clients are required to pay for damage to the full amount. The animal owner and client who has allowed the animal to stay in the room is fully responsible for such an animal. For any breach of the above rules and measures, except for direct property damage which is charged to the guests to its full amount, guests will be charged for extra cleaning of their room or other areas soiled by the animal up to a sum of 1 thousand CZK. The hotel reserves the right to further charge direct cleaning costs if they exceed the above stated sum, to their full amount. The hotel also reserves the right to charge for new bedclothes if bedclothes are used for animal beds. Such bedclothes will be charged to the guest to their full amount. Rooms where the guest is accommodated with an animal must be made accessible for cleaning and inspection such that hotel staff and other guests are not endangered. Inspections must be permitted at least once a day to ascertain any damage or excessive soiling.

 

8. Before leaving, the client is required to turn off taps, turn off lights in  the room, and close the window in rooms with terraces, lock the door and leave the hotel key at reception. The hotel will charge the sum of 6 500 CZK per key if lost.


9. Clients are required to put their waste only in the designated containers in their designated places.

                
10. For safety reasons, the hotel recommends not leaving children up to 12 years without adult supervision in rooms or in other common areas of the hotel.


11. Between 10 pm and 6 am, clients are required to keep noises down. 


12. Within hotel premises, clients may not carry weapons or ammunitions,  nor harbour then in a condition permitting their immediate use.


13. Hotel management will receive any complaints from guests, or proposals for improving the hotel’s actions.


14. Any disputes arising from this agreement will be dealt with through the courts in the Czech Republic. In disputes over compensation for damage in which the defendant is a person with residence in one of the EU member states, court jurisdiction is in accordance with the place where the damage occurred in line with Art. 5, point 3 of Council Regulation (EC) No 44/2001 of 22 December 2000 on jurisdiction and the recognition and enforcement of judgments in civil and commercial matters. 


15. The client is required to observe the provisions of these accommodation rules. If the client does not observe these accommodation rules, hotel management is entitled to withdraw the provision of accommodation services and withdraw from the accommodation contract before the agreed time has come to an end. In such cases, the hotel is entitled to the full price of accommodation. The client must subsequently leave the hotel immediately. The client is required to be familiar with the hotel’s operating and security rules, including those of its equipment and observe these thoroughly.

16. By making a booking, the guest agrees that he is familiar with all operating rules of accommodation, and catering section of the hotel. Guest accommodation is governed by Czech legislation on the basis of Czech law and these accommodation rules. The accommodated guest accepts these accommodation rules as a contractual condition for accommodation and is required to observe their provisions. The guest is required to become acquainted with these accommodation rules, and any lack of such knowledge will not be taken into account.

17. The guest providing the hotel with his personal details within his documents upon commencement of accommodation services consents to the processing and storage of his personal details by Promotion Agency, s.r.o. within the meaning of Act 101/2000 Coll., as amended.
